At Fivecourse Catering, we strive for complete customer satisfaction. This Refund Policy outlines our procedures for refunds, cancellations, and changes to your catering bookings. Please read this policy carefully before booking our services.

Deposit and Payment Policy

A 50% non-refundable deposit is required to secure all bookings. The remaining balance is due 7 days before your event. All payments are final and non-refundable except as provided in this policy.

How to Cancel

To cancel your booking and request a refund, you must:

  1. Written Notice: Send a written cancellation notice via email to kobebradley@5crscatering.com
  2. Include Details: Provide your event date, booking confirmation number, and reason for cancellation
  3. Timing: Ensure your notice is received within the applicable refund timeframe
  4. Confirmation: Wait for our written confirmation of the cancellation and refund processing

Refund Processing

  • Processing Time: Refunds are processed within 7-14 business days after cancellation confirmation
  • Method: Refunds are issued to the original payment method
  • Partial Refunds: Only the balance (excluding deposit) is eligible for refund based on the schedule above
  • Disputes: Any refund disputes must be submitted in writing within 30 days of the refund processing date

Non-Refundable Situations

The following situations are not eligible for refunds:

  • Late Cancellations: Cancellations made less than 7 days before the event
  • No-Shows: Failure to appear for scheduled events without prior notice
  • Force Majeure: Events affected by circumstances beyond our control (see Force Majeure section below)
  • Client Default: Failure to make payments as specified in the contract
  • Menu Changes: Last-minute menu changes or special requests

Force Majeure

We are not responsible for cancellations or delays caused by events beyond our reasonable control, including but not limited to:

  • Natural disasters (storms, floods, earthquakes)
  • Government actions or restrictions
  • Public health emergencies
  • Utility failures
  • Transportation disruptions
  • Civil unrest or labor disputes

In such cases, we will work with you to reschedule your event or provide alternative solutions when possible.

Service Issues and Partial Refunds

In the rare event of service issues, we may offer partial refunds or credits at our discretion:

  • Food Quality: Significant food quality issues may result in partial refunds
  • Service Delays: Major service delays may result in partial credits
  • Under-delivery: Significant under-delivery of food or services
  • Professional Conduct: Unprofessional behavior by our staff

Note: All service issue claims must be reported immediately during the event and confirmed in writing within 48 hours.

Rescheduling

If you need to reschedule your event:

  • Availability: New date is subject to our availability
  • Same Venue: Rescheduling to the same venue and date in a future year may be accommodated with no additional fees
  • Different Date: Different dates may be subject to price changes and additional fees
  • Transfer: Bookings may be transferable to another party at our discretion

Special Event Considerations

Additional considerations for specific event types:

Weddings

  • Wedding deposits are non-refundable after 90 days
  • Wedding date changes within 6 months may incur additional fees
  • Peak season dates (May-October) have limited availability

Corporate Events

  • Business cancellations require 30 days notice for full consideration
  • Force majeure clauses apply to all corporate contracts
  • Multi-day events have different cancellation terms per day

Private Dinners

  • Private dinner cancellations require 14 days notice
  • Last-minute cancellations (within 48 hours) are non-refundable
  • Ingredient preparation begins 72 hours before service

Dispute Resolution

If you have a refund dispute:

  1. Initial Review: Contact us within 30 days to discuss the issue
  2. Written Complaint: Submit a detailed written complaint with supporting documentation
  3. Investigation: We will investigate and respond within 14 business days
  4. Final Decision: Our decision is final and binding for amounts under $1,000
  5. Legal Action: For disputes over $1,000, standard legal procedures apply
